About the Client 

Our client provides non-emergency patient transport services in Australia, supporting patients, carers, healthcare facilities and other service stakeholders. The operation is focused on accurate coordination, timely communication and dependable service delivery. 

The Opportunity 

We are looking for an experienced Dispatch Associate to support Australian non-emergency patient transport operations. You will receive and coordinate transport requests, manage inbound and outbound calls, schedule bookings and complete email and administrative work. Your role will help ensure transport requests are accurately captured, appropriately scheduled and actioned within the required service timeframes. 

The position is based at Four E-Com, Pasay City, with a hybrid work arrangement available after successful completion of the three-month probationary and onboarding period. 

As the operation runs 24/7, you must be willing to work rotating shifts, weekends, public holidays, night shifts and outside standard business hours when required.

Key Responsibilities 

  • Receive inbound transport requests and accurately capture all required information 

  • Confirm pickup locations, destinations, transport times and passenger details 

  • Make outbound calls to confirm, clarify or update transport arrangements 

  • Schedule and coordinate transport requests using approved booking and dispatch systems 

  • Identify scheduling conflicts, capacity concerns and potential delays, escalating these promptly 

  • Update bookings and schedules when requests are changed, cancelled or rescheduled 

  • Manage transport-related emails and administrative requests within required timeframes 

  • Maintain accurate booking, patient, customer and handover records 

  • Communicate clearly and professionally with patients, carers, healthcare facilities and service stakeholders 

  • Follow privacy, confidentiality, booking, dispatch and escalation procedures 

  • Meet agreed quality, productivity, accuracy, attendance and schedule adherence expectations 

What We’re Looking For 

  • At least one year of relevant BPO or contact-centre experience 

  • Experience in customer service, contact-centre operations, bookings, scheduling, dispatch or administration 

  • Experience handling inbound and/or outbound customer interactions 

  • Experience managing email and administrative work in a structured environment 

  • Strong spoken and written English communication skills 

  • Strong attention to detail and accurate data-entry capability 

  • Ability to balance calls, emails, scheduling and administrative tasks 

  • Working proficiency in Microsoft Office and contact-centre or operational systems 

  • Sound judgement, organisation, prioritisation and problem-solving skills 

  • Willingness to work rotating shifts, weekends, public holidays and night shifts 

Nice to Have 

  • Experience in transport scheduling, dispatch, bookings or coordination 

  • Experience in healthcare, patient services, medical transport, aged care or community services 

  • Experience using CRM, booking, dispatch, rostering, telephony or case-management systems 

  • Experience working in a high-volume contact-centre environment 

  • Experience managing shared inboxes or high-volume email administration
